Data Impact of Changing Usernames

You can change a username when you submit an import file that includes a new username for a teacher or student account using the LASID associated with the original account.

Example

Import Run 1:  LASID = 12345.  USERNAME = JaneDoe@mydistrict.com

Import Run 2:  LASID = 12345.  USERNAME = JaneSmith@mydistrict.com

 

The data impact of this change varies, depending on the role of the user and the platform(s) that the account is set up to use. See the platform type below for specific details.

Ed, the HMH Learning Platform and Heinemann Flight

Systems like Ed and Flight uses the LASID as the Primary Key and as such supports username changes on user accounts. When a new username is submitted for a teacher or student account, the existing user account simply has a new username. In the example above, Jane can log in to Ed or Flight using her new username (JaneSmith@mydistrict.com). If she is a teacher, she continues to have access to all her classes. If she is a student, she continues to have access to all of her assignments.

ThinkCentral and Holt McDougal Online

ThinkCentral and Holt McDougal Online do not allow changes to usernames because USERNAME is considered the Primary Key. If you submit a new username for a TC or HMO user account, the results are as follows:

      The user's original account (JaneDoe@mydistrict.com) becomes inactive.

      A new user account is created using the new username (JaneSmith@mydistrict.com).

For Teacher Accounts only

      If the teacher's class names remain unchanged, any classes assigned to the original teacher account (JaneDoe@mydistrict.com) are reassigned to the new teacher account (JaneSmith@mydistrict.com). If the class names change as part of a username change, then the old classes (using the original class names) become inactivate and the new classes (using the new class names) are created.

      If the class name/id remains the same and the class is properly assigned to the new teacher account in the same import run, then the new teacher account has access to all of the prior class's assessments and assignments.

      If the teacher had custom resources in the original account, those resources must be recreated in the teacher's new account.

For Student Accounts only

      The student, using the new account, has no connection to the historical assignment data because that information is tied to the original (old) account, which is now inactive.

Recommended Best Practice: To help the user recreate necessary data that will be inaccessible after a username change, print that data prior to changing the username on the account. If the username has already been changed, reactivate the old account, print the data, and then deactivate the account again.
