Common Import Errors

The most common import errors and the recommended actions to resolve or avoid these errors are provided in the following list.

Class missing or failed to load

– Error text: The student you are trying to add does not exist in the system. Class will not be created or updated.

The student is not included in the users.csv file, or your classassignments.csv file and users.csv file are not linked.	If a user is enrolled in a class, the user must be in the users.csv file and the classassignments.csv file and these files must be linked for the organization.

– Error text: The teacher does not exist in the system or is inactive. Class will not be created.

Common Reason	Recommended Action
The teacher is not included in your user file/object or your class roster file/object has users that are not in your user file/object.	If a teacher is assigned to a class, the teacher must be in the users.csv file and the classassignments.csv file and these files must be linked for the organization.

– Error text: Attempting to add users to a class. However the classes.csv has no entry for this class.

CLASSLOCALID is listed on CLASSASSIGNMENT file but not listed in CLASS file.

Find examples:

select iclasslocalid from ClassAssignment where iclasslocalid not in (select iclasslocalid from Class)

Customers often put the classname in the classassignment file. However, SFF is a relational design linked on the ObjectIds, such as ClassLocalId.

– Error Text: Attempting to add a user to the class, when the class does not exist.

Class was not created due to another error, so users were not added.

Where cl.classlocalid is null

Often data from the SIS may not enforce referential integrity, and as such, the data may include classes or users enrolled in the roster files but missing from the parent files. Make sure your files are properly linked so that you submit only data that is present in all files.

– Error text: Class creation failed; the class was not created. Please review class creation errors.

TC and HMO require a class to have a teacher. In the early weeks of back to school, however, your district's scheduling may be incomplete and some classes may not have teachers assigned. It may be best to withhold this data until teachers are assigned.

– Error Text: The student you are trying to add to the class is registered in a different school from the class. The class will not be created or updated.

Multi-tenancy issue. Student and Class must reside at same school.

If users are enrolled in more than one organization, they must be included in the users file for each organization that they are enrolled.

– Error text: Duplicate classnames found in the import file. Remove the duplicates. Class will not be created/updated.

– Error text: A class must have a teacher assigned to it. This class has no teacher assigned to it. Class could not be created.

Issue with LASIDs

– Error Text: The entry for LASID is a duplicate. A LASID can only be assigned to a class once.

– Error Text: Attempting to add a LASID to a class. However the users.csv has no entry for this LASID.

Issue with user being loaded

– Error text: The student you are attempting to assign to the class is not a member of the same organization as the class.

If a user is enrolled in more than one organization, they must be in the users.csv file for each organization in which they are enrolled.

– Error text: THE RUN HAS BEEN BLOCKED.

The submitted file is missing 50% or more of the data records for at least one data object (students, teachers, classes, or class enrollments) when compared to the last successfully uploaded file.

Example: The last successfully uploaded file had 10,000 students, and this submitted SFF file has only 4999 students. This triggered a threshold error because the missing 5001 student accounts will be deactivated if this file is uploaded.

Common situations for this safeguard:

● User wants to update a handful of accounts or a selected class, possibly for pilot and forgot that you must send ALL data for SFF.

● User uploaded a file that was not completed.

● User moved from Term 1 to Term 2 but did not include Term 1 classes. All classes from Term 1 will be deactivated if not included the latest upload.

Imports using the SFF template require that all data be included at the time of the import. Your submitted import files are considered full year-to-date data files, so every import file replaces the last one imported. If a data object from a Day 1 file is missing from the Day 2 file, then that data object is deactivated.

● If you intentionally did not include the data objects in the submitted file because you want to deactivate those data objects, then you can select to override the threshold block by clicking the OVERRIDE button.

● If you want to retain the missing data objects, then you must add them back into your SFF file and upload the corrected file.

Missing mandatory field

– Error text: GRADE is missing. This is a mandatory field.

GRADE field left blank in class.csv file.

GRADE is a required field for both users.csv and class.csv file.

● For users.csv, students can be assigned only one grade; teachers can be assigned a range of grades. Acceptable entries: PK, K, 1, 2, 3, 4, 5, 6, 7, 8, 9, 10, 11, or 12; teachers only, hyphens acceptable for ranges (6-8)

● For class.csv, only one grade can be assigned.

– Error text: ORGANIZATIONID is missing. This is a mandatory field.

ORGANIZATIONID field left blank in either the users.csv file or the class.csv file.

ORGANIZATIONID is a required field for both users.csv and class.csv file. Enter your organization's Market Data Retrieval (MDR) number, also known as the school PID.
