Before You Begin

To prepare for the HMH Import Management data import, you must first plan for the process and prepare your organization's data files according to specific import guidelines. Before you start analyzing specific field requirements and populating the template, review the following high-level considerations to get started with your data integration effort.

Prepare Early

The preparation of the HMH templates should begin well in advance of your intended use of HMH Import Management. The amount of time needed to prepare for implementation will vary based on the size of your school system, the digital infrastructure already in place, and the core competencies of the information technology personnel in your school system. However, HMH recommends that small to medium-sized school districts begin thinking about the data integration process at least several weeks prior to using HMH Import Management.

Determine Data Needs

As an organization, consider the following questions and decide the best course of action:

      Does my organization want single sign on (SSO) now or in the future?

      Which template format should my organization use for file creation and import—OneRoster 1.1 CSV, Simple File Format (SFF) template, ThinkCentral (TC) template, or Holt McDougal Online (HMO) template?

      Does my organization need to purge or retain its existing data?

      How does my organization want to activate products for classes?

      Does my organization want to import files as a single-batch, manual import or as a scheduled, automated SFTP import?

Request and Set Up Import Management Access

To complete rostering for HMH platforms, you must have either a district administrator account or a school administrator account within Ed, ThinkCentral (TC) and/or Holt McDougal Online (HMO). If you do not have such an account, contact the curriculum coordinator responsible for purchasing software for your school or district to ensure that all the necessary users accounts are created.

Important Notes:

      You must have an account on each platform to which you are rostering (Ed, TC, and/or HMO).

      If you have a school administrator account, you can only roster to your school. To roster to all organizations in your district, you must have a district administrative account.

      If you are working with both TC and HMO, then your administrator username must be the same for both. The default import administrator for an organization has the ability to import data for both applications. See Set a Default Import Administrator for details.

Identify Users and Classes

The completed import templates must include all student and staff users as well as classes and grade levels that require access to or who are to be maintained within the HMH platforms or products. If identifying specific user groups and classes is too complicated, you can include all user groups and classes in your district. This identification is necessary to establish class roster relationships between teachers and their students.

Assign Unique IDs for All Users and Classes

Each adult user, student, and class must have a locally assigned identifier that is unique across the entire school district. Unique, consistent IDs are critical for ensuring that the correct content is delivered to the correct individuals and that the data are stored accurately for long-term use and longitudinal data studies.
